The form triggers the Zap
Your existing form posts to the Zap by webhook – with stable technical field names, hidden fields for source and campaign, and a honeypot against bots.
Validate and normalise the values
Email checked for spelling, phone numbers put into international format, company name stripped of its legal form for matching. A missing mandatory entry stops the Zap at this point.
Search for duplicates
The keys run in a fixed order: email exactly, then domain plus company name, then surname plus phone number. A hit that rests on the phone number alone is never merged automatically.
Create or extend
One hit means extend, no hit means create, several hits mean change nothing. Account, contact and record are built to your mandatory fields, with an owner and a task carrying a deadline.
Acknowledge and log
The sender gets an acknowledgement, the responsible person a notification. The record shows which key matched; the Zap history shows every run step by step.

Best practices: Avoiding chaos
Zapier makes it easy to create Zaps quickly. This often leads to a confusing mess. With these practices, you stay in control.
Uniform naming
Name Zaps according to a schema: source → target → action. "Typeform → HubSpot → create contact" immediately says what's happening. Avoid "test" or "copy of copy".
Use folders
Group Zaps by area: Sales, Marketing, HR, Operations. This way you find relevant automations quickly and see where gaps or redundancies are.
Keep documentation
Use the description fields in Zapier. Note why the Zap exists, who is responsible, and what to consider when making changes. Your future self will thank you.
Define ownership
Every Zap should have an owner. When problems or change requests arise, it must be clear who is responsible. Shared accounts without clear responsibilities lead to chaos.
