Anatomy of an automation: what goes into a workflow

The cockpit only ever shows: done. Behind that, every case passes through intake, AI, approval, integrations, logging and operations – and we set up each station to fit your processes.

From inbox to booking.

  1. CockpitWhat your team sees: completed cases, pending approvals, time saved.
  2. IntakeEmail, form, webhook or schedule: every case starts at one defined intake.
  3. AI understandsClaude or GPT read emails and documents and recognise intent and fields – with confidence scores instead of guesswork.
  4. Rules & approvalYour rules decide, a person approves: amounts, responsibilities, four-eyes principle.
  5. Systems & integrationsn8n, Make or Power Automate connect your systems – no copy and paste.
  6. Logging & monitoringEvery run is logged; errors trigger a retry and an alert.
  7. Operations & data protectionEU hosting or self-hosting, DPA, roles and backups – the part nobody sees.

Station 02 · Intake

Everything arrives.

Email, form or scan: every case lands in one defined intake and is recognised straight away.

One intake for every case.

Station 03 · AI understands

The AI reads along.

An AI agent recognises what a case is about and extracts the important fields – with confidence scores instead of guesswork.

No more retyping.

Station 04 · Rules & approval

You stay in control.

Your rules decide what runs automatically and what a person approves. Every decision stays traceable.

Automated – not uncontrolled.

In operation

One flow. Around the clock.

Seven stations become one workflow that runs in the background – exactly as much automation as your business needs.

Your processes. Automated.

Less Routine, More Impact

Repetitive tasks waste time and are error-prone. With tools like n8n, Make.com, Zapier, or Power Automate, we automate your workflows – so your team can focus on strategic work.

Time savings you can measure

Automated workflows run around the clock in the background – our clients win back entire workdays every week.

24.5

Hours per week saved by a single client project in day-to-day operations – read the case study

Fewer errors

Standardized processes instead of copy-paste – every operation runs identically and traceably.

Scalable

Solutions that grow with you – from the first workflow to your own SaaS app.

Team working together at a table – time for real work instead of routine tasks

Your team focuses on real work – the routine runs automatically.

Seamlessly integrated

SharePoint, Google Drive, CRM, accounting & co. work together instead of side by side – your systems stay, the handovers become automatic.

GDPR-compliant

EU hosting, data processing agreements and audit trails built in from day one – no vendor lock-in.

What does routine work cost you?

Three sliders show what manual work costs your business every year – and how much automation wins back.

Illustrative estimate: hours per person × people × 46 working weeks × an assumed 70% reduction. Actual results depend on the process; project and running costs are not deducted.

FAQ: automation, AI agents and custom software

What does automation cost? Which tools do we use? How quickly do you see results?

How much does process automation with Lyron cost?

Single workflows start at €490; larger automation projects range from €890 to €5,900. The AI agent pilot and custom software (MVP) start at €4,900. Ongoing support with monitoring starts at €290 per month – see our pricing page for entry prices and the process.

Which tools does Lyron use for workflow automation?

We work primarily with n8n (open-source, self-hosted), Make.com, Zapier and Microsoft Power Automate. Tool selection is driven by your existing stack, data privacy requirements and complexity – not by our preference.

Is the automation GDPR-compliant?

Yes. We design workflows with privacy, access controls and proper data processing agreements from day one. On request we host n8n on European servers or directly inside your infrastructure – a critical advantage over US-only SaaS tools for SMEs handling sensitive data.

How long does a typical automation project take?

A single workflow is usually live within 1–2 weeks. Larger projects spanning several systems, data migration and training take 4–8 weeks. After go-live we can take over monitoring, incident response and continuous improvement.

Who is Lyron a good fit for?

We are an AI automation agency working with SMEs and mid-market companies in Germany, Austria, Switzerland and across the EU that want to automate routine work in sales, finance, HR, IT and operations – pragmatically, well documented and without vendor lock-in. We also work fully remote with English-speaking clients worldwide, from the United States to the UK and Australia. Browse our automation products or case studies to see what's possible.

Does Lyron work with companies in the United States?

Yes. We work fully remote with clients in the United States and worldwide. AI agents, workflow automation and custom software are delivered in English – including documentation, training and support – and meetings are scheduled to overlap with US business hours. Hosting can run in your own cloud or infrastructure, so your data stays in your region. Book a free consultation to discuss your use case.

How do we get an AI agent into production in our company?

Our SME projects have produced a clear path: 30 days harden the pilot (baseline, real data, logs), 30 days integration and human-in-the-loop, 30 days compliance, ROI proof and scaling. The hard part isn't the model – it's the rest: a clear use case, an owner, EU AI Act documentation and a stop-loss criterion. Full playbook in our 90-day plan for SMEs.

When is an AI agent a better fit than a classic workflow?

A classic workflow fits when inputs are structured and the rules are fixed. An AI agent pays off when unstructured inputs such as emails, PDFs or requests need to be understood and decisions prepared – with clear approvals. We often combine both. More on our page on AI agents for business.

Does Lyron also build custom software?

Yes. Alongside automation we build custom software: web apps, internal portals and SaaS tools – integrated with SharePoint, Google Drive, CRM and databases. From first requirements through MVP to managed operations, GDPR-ready and without vendor lock-in. Services, process and costs are on our page on custom software development.

Does Lyron also automate Microsoft 365 and SharePoint?

Yes. We build standard processes such as approvals, notifications and document flows with Power Automate. Where flows are not enough, we develop SharePoint web parts, intranet suites and Copilot apps – single web parts from €1,900, source code included.
